What is a milestone invoice?

A milestone invoice bills a client for one defined stage of a larger project rather than the whole project at once. Instead of a single invoice at the end, you agree a schedule up front — for example a deposit before you start, a payment at the halfway checkpoint, and a final balance on delivery — and you send a separate invoice as each milestone is reached.

Milestone billing is the standard for project-based freelancers and small agencies: web designers, brand studios, developers, video editors, consultants, and contractors. It protects your cash flow, anchors the client to the agreed scope, and makes a long engagement feel like a series of small, completed deliveries.

When to use this template

How to fill it in

  1. Choose the milestone you're billing (deposit, mid-project, final, or a custom phase).
  2. Enter your details, the client's details, and how you want to be paid.
  3. Add a line for the milestone amount — and optionally show the project total for context.
  4. Set a tax rate if you charge tax. The total updates automatically.
  5. Click Print / Save as PDF and choose "Save as PDF" as the destination.
